User Feedback Survey

While I can’t share proprietary details, this case study provides insight into my process for designing and implementing user feedback surveys to improve retail banking software.

Description

The retail software team set out to redevelop and relaunch a bi-annual user feedback survey to gather insights from branch employees. The goal was to establish a baseline of how in-branch users perceive our internal branch software in terms of usefulness, clarity, trustworthiness, and overall experience. I was responsible for writing the survey, leading review sessions with retail management, overseeing its creation, monitoring responses, and compiling a research recap.

 

Goals
  • Establish a baseline of how users perceive our internal branch software in terms of usefulness, clarity, trustworthiness, and attractiveness at the time of survey completion
  • Create a streamlined method for collecting feedback from all users
  • Gather baseline data to measure our internal branch software’s growth following the redesign
  • Increase survey participation rates by refining communication and engagement strategies
  • Introduce a regular survey cadence to establish a bi-annual pattern with internal branch software users
  • Capture new ideas and insights directly from branch teammates

Approach

  • Develop a research plan and obtain approval from the retail leadership team
  • Collaborate with the retail network team to create a communication strategy and recruit branch employees for survey participation
  • Design and build the survey in UserZoom, featuring quantitative matrix questions followed by qualitative comment boxes.
  • Craft marketing messages for six communication channels, including emails, newsletters, and team huddles, to promote survey participation
  • Launch survey and monitor responses for a two-week period
  • Analyze post-survey data to identify key insights and trends

Impact

  • 11.86% completion rate (712 surveys completed out of 6,000 users)
  • Feedback and comments align with the [software name] roadmap
  • Users value being part of the design process and are eager to provide more input
  • +790% increase in participation compared to the last survey in 2021
  • 2,075 comments of detailed feedback collected
  • A critical production issue was discovered through user feedback, quickly escalated to developers for investigation, and successfully resolved
